Client Relationship Specialist

Job Duties (including but are not limited to):

  • Review contra firm statements and work with the team to determine an action plan for onboarding
  • Gather and review new account paperwork, work with custodian/fund to establish new accounts
  • Perform quality checks to ensure all aspects of onboarding and account setup are complete and accurate
  • Provide ongoing support of existing client’s service requests and financial goals
  • Exhibit scheduling fluency and coach CRS team on scheduling intelligence
  • Exhibit expertise and accuracy in data systems (CRM, PMR, Custodial)
  • Learn, understand, and prepare alternative & private placement paperwork
  • Serve as a knowledgeable point of contact for clients and CPAs, resolving inquiries with accuracy and professionalism
  • Responsible for daily asset movements (wires, ACHs, checks, journals, RMDs, and ACAT requests).
  • Quality check of day’s work (checks/securities received, journals, wires, etc.)
  • Provide assistance to team members on tasks and projects as business needs arise
  • Contribute to the continued development and implementation of operational procedures and process improvements
  • Develop and manage training plan for Client Relationship Associate role
  • Administrative duties to include answering phones, welcoming client visitors, and assisting with meeting room setup for client meetings
  • Client Service Operations & Efficiency
    • Review and approve transactions exceeding established thresholds (i.e. asset movement) and ensure procedures are in place and followed by the client service team
    • Resolve escalated client issues promptly and effectively, including personal follow-up, to ensure positive client experiences
    • Serve as the subject matter expert on complex financial products including margin, securities-based lending, donor-advised funds, 529 plans, etc.
  • Manage all aspects of client onboarding, new accounts, funding
    • Serve as lead on client engagement during onboarding phase
    • Initiate onboarding and client experience workflows
    • Maintain workflow to ensure client team is fully aware of where we are in onboarding process
    • Review statement(s) with PM and assess what securities can be held at the custodian
    • Determine account types to be opened
    • Document preparation
      • Including, but not limited to asset movement, onboarding, change of address, LOAs, manager forms, alternatives
    • CRM & Tamarac setup
    • Work with PM to establish follow ups in CRM for external assets that did not transfer (illiquid assets such as proprietary holdings, alternatives, annuities, and private equity funds)
  • Provide leadership for the client team in the ongoing support of clients and their daily requests and goals
    • Team with PM/IAs to keep informed of any necessary client information (i.e. – Life events, baby, marriage, buying a home, etc.)
    • Solicit resources & SMEs where needed
    • Determine cash needs and coordinate with team on establishing periodic distributions, periodic additions, etc.
    • For executive clients, assist with bonus/restricted stock issues, liquidity event timelines, and coordinate action plans and regulatory filings
    • Identify lending needs (i.e. Investment Credit Line, etc.)
    • Estate plan – gather wills/trusts – enter beneficiary info in CRM
    • Initiate books and records review every 3 years (Precise FP)
    • Process Asset Movement requests (Wires, ACHs, checks, journals, DTC/gifting, RMDs, ACATs)
      • Ensuring proper documentation is saved
      • Fulfilling regulatory AML requirements for asset movement, if necessary
      • Running appropriate Service Request in CRM, if necessary
      • Approve asset movement, as needed
      • ACAT – review assets and cost basis audit
    • IPS/Client Suitability
      • Work with client team to obtain executed IPSs and suitability questionnaires and file for retention
    • Strategy funding and communication
  • Schedule meetings
    • Provide dates & times within the Ideal Work Week framework
    • Use “dentist” appointments where appropriate
    • Ensure client receives calendar invite/meeting link, if necessary
    • Ensure meeting frequency aligns with segmentation metrics
    • Ensuring conference room or virtual meeting(s) are prepared before the meeting occurs
      • Assist PM/IA as needed
      • Participate in meeting, if necessary
    • Ensure next call/meetings are scheduled
  • CRM subject matter expert and data steward
    • Ensure client touch and missing information reports are up to date, call and meeting lists are accurate, and client team is actively engaged with regulatory requirements.
    • Ensures client data is accurate, including but not limited to:
      • Add and maintain family structure and information (children’s birthdays, beneficiary contact info, trust distribution/termination dates, etc.
      • Contact information- classification, email, mailing address(es), preferences, marketing, meeting frequency, etc.
      • Connections – building out family members, external client teams (CPA, attorney, etc.)
      • Ensuring CRM client notes are up to date
      • Ensuring client accounts & CRM are set up properly for proxy & litigation elections.
      • Must be able to create and run all reports to identify inaccuracies, stale data, touch reports, marketing lists.
        • Assist marketing with initiatives (birthday, Christmas, ad hoc, etc.)
    •  Daily/Weekly Duties
      • Manage all operational client files for regulatory doc retention
      • Answer all phone calls by the 2nd ring
      • Service all client inquiries or service requests
      • Process and/or release asset movement and run AML, if necessary
      • Monitor dashboards (Accounts negative, returned mail, etc.)
      • Assist with various reporting/audit
      • Custodian management (Account maintenance, escalations, service requests, online portals, offering and product expert)

Qualifications

  • Minimum 2 years in client service, account operations, onboarding, or custodial service within an RIA, broker-dealer, or similar financial services environment
  • High school diploma required; Associate’s or Bachelor’s degree is preferred (business, finance, economics, or related)
  • Experience with Fidelity and Pershing a plus
  • FACSC Certifications a plus
  • Experience processing or supporting wires, journals, check requests, distributions, or similar cash movement activities with strong attention to controls
  • Demonstrated ability to review documentation for completeness and accuracy, performing quality checks to minimize errors and rework.
  • Energetic, self-starter team player with a desire to make a difference
  • General understanding of the global financial markets
  • Ability to communicate professionally with clients, advisors, and internal teams, including responding to inquiries clearly and promptly; uses sound judgement with sensitive transactions
  • Proven ability to manage multiple priorities in a fast-paced environment while meeting deadlines and maintaining precision
  • Intermediate-level user of Microsoft Office applications: Word, Excel & Outlook

Job Duties

  • Build a Relationship Based Practice: fostering deep, trusted, and long-term relationships across generations to help families dedicatedly navigate situations and decisions related to life stages and wealth transfer
  • Support 50-75 clients, take a leadership role in 10-20 client relationships
  • Independently provide investment guidance, and implementing strategies for clients
  • Own monthly financial modeling and database management responsibilities such as IPS Targets and portfolio monitoring to proactively identify opportunities
  • Master understanding of risk statistics and various other portfolio measurement tools to verify accuracy of investment strategies and benchmark performance
  • Master understanding of global markets
  • Use of independent judgement & decision making abilities as well as questioning decisions & probing deeper to ensure best decisions are made
  • Lead the Sendero Guidance Process with clients
  • Create asset allocation recommendations based on investment team’s asset allocation targets and clients’ needs
  • Ability to successfully discuss in-depth investment related questions
  • Collaboratively work with all areas of the firm ensuring client request and needs are executed in a timely manner
  • Full control in the Request for Proposals process
  • Take a leadership role in firm projects
  • Attend prospect presentations and assist in the on-boarding process
  • Attend marketing and business-related events as necessary and/or required

Qualifications:

  • A minimum of a bachelor’s degree preferred in business-related field (accounting, finance, economics, risk management, data analytics, data science or mathematics)
  • Required: 5+ years investment related experience
  • Strong knowledge of portfolio performance and rebalancing systems
  • Strong presentation skills in front of individuals and groups
  • Lead a team of Portfolio Managers by mentoring and coaching
  • Knowledge of Bloomberg and/or FactSet
  • Series 65 license is required and remain in good standing
  • Assume an active role in community board(s)
