Client Service Associate


About the Role

As a Client Service Associate, you will collaborate closely with the Client Relationship Specialist (CRS) team, who serve as the first point of contact for our clients. In this key role, you will help ensure that client requests and needs are addressed promptly and accurately. Your responsibilities will include assisting with client onboarding, processing wires, journals, and asset transfers, handling check requests, new account openings, maintaining accounts, and helping with coordinating client meetings. A strong focus on client satisfaction, particularly in problem resolution, transaction processing, and exceptional customer service, is essential for success in this role.

Key Responsibilities (including but are not limited to):

  • Support a client team of four with all operational and client service needs
  • Responsible for daily asset movement requests (wires, ACHs, checks, journals, RMDs and ACATs)
  • Quality check of day’s work (checks/securities received, trade tickets, journals, wires, etc.)
  • Input and update information and notes in CRM, custodian systems, reporting software, and AML tools
  • CRM data steward with the ability to identify inaccuracies, stale data, and run reports
  • Assist other team members with various tasks and projects that may arise
  • Manage calendars and schedule meetings involving multiple participants, ensuring accuracy and efficiency in coordinating availability
  • Contribute to the continued development and implementation of operational procedures and process improvements
  • Prepare documents to support client service requests while ensuring accuracy and adhering to all regulatory and company compliance standards
  • Assist with the full onboarding lifecycle for new clients and accounts, from initiation to finalization, while maintaining accuracy and compliance
  • Understanding of alternative investment processes and preparation of paperwork for hedge funds and private placements
  • Other duties include answering phones, emails, & welcoming client visitors, and assisting with meeting room setup for client meetings
  • Back up to the reception desk as necessary

Job Duties

  • Build a Relationship Based Practice: fostering deep, trusted, and long-term relationships across generations to help families dedicatedly navigate situations and decisions related to life stages and wealth transfer
  • Support 50-75 clients, take a leadership role in 10-20 client relationships
  • Independently provide investment guidance, and implementing strategies for clients
  • Own monthly financial modeling and database management responsibilities such as IPS Targets and portfolio monitoring to proactively identify opportunities
  • Master understanding of risk statistics and various other portfolio measurement tools to verify accuracy of investment strategies and benchmark performance
  • Master understanding of global markets
  • Use of independent judgement & decision making abilities as well as questioning decisions & probing deeper to ensure best decisions are made
  • Lead the Sendero Guidance Process with clients
  • Create asset allocation recommendations based on investment team’s asset allocation targets and clients’ needs
  • Ability to successfully discuss in-depth investment related questions
  • Collaboratively work with all areas of the firm ensuring client request and needs are executed in a timely manner
  • Full control in the Request for Proposals process
  • Take a leadership role in firm projects
  • Attend prospect presentations and assist in the on-boarding process
  • Attend marketing and business-related events as necessary and/or required

Qualifications:

  • A minimum of a bachelor’s degree preferred in business-related field (accounting, finance, economics, risk management, data analytics, data science or mathematics)
  • Required: 5+ years investment related experience
  • Strong knowledge of portfolio performance and rebalancing systems
  • Strong presentation skills in front of individuals and groups
  • Lead a team of Portfolio Managers by mentoring and coaching
  • Knowledge of Bloomberg and/or FactSet
  • Series 65 license is required and remain in good standing
  • Assume an active role in community board(s)

Competencies:

  • Experience with and/or knowledge of behavioral finance
  • Deep experience in serving families of wealth including Cash Flow Analysis, Income Protection, and Asset Protection
  • Deep understanding of asset allocation and how markets work
  • Ability to build trust and relationships with clients and their families
